The Old Facebook Groups To New Groups Format Q&A & Tips

By now most of us OLD group owners have heard the news (even though Facebook hasn’t told it users or the media about it yet) that we are being migrated over to the NEW group format.

So I know lots of you have had questions because my email & Skype has been burning up. Well I will give you some answers I have found out and I even have some tips for everyone to make your life & this migration a little easier. The Facebook Help Center does little to help you.

Lets start with the 2 different messages everyone is getting if you are an old group owner or admin. The first one is one telling you that your group is scheduled to be archived.

You will not see an upgrade button on this & the reason being is it is not your turn yet. Facebook seems to trying to do a controlled upgrade on this so they do not disrupt the site too much with everyone upgrading all their groups at once. Just like they did with the Page Migration.

Now the next message is the one you get when they are ready for you to upgrade. The message is the same but only now it gives you the option Upgrade.

So you see this group has been given the option to upgrade. Now come the part you need to be careful with !!! Before you upgrade the page PLEASE make sure you back up all your discussion topics you want to save to MS Word or Wordpad because once you upgrade they become wall posts and will really clog your wall up if you have alot of topics. So just copy and paste anything you need to save & delete the topics before hand.

Now people are  asking, Well I backed up my discussion topics I wanted to save & I want to put them in the new group what do I do? This is where you need to make what is called a Create Doc, this is the new version of discussion topic. Then just copy and past what you need into that and the members will see there is a new Doc for them to read and it it will available to them on the right hand side.

Now another question that people are asking about upgrading is, Will all my members carry over to the new group?  The answer is YES they will and a really nice thing  also is that all those people you banned from your groups DO NOT COME OVER !!! So that will be one less headache !!! 

Speaking off Headaches here we go. Once again in typical Facebook fashion they have made it so we have to opt out of another thing and it is HUGE!!! Once the new group is made every member will get updates directly to their emails of all activity in the group. YEP YOU HEARD ME RIGHT !!! Each member has to go in to manually shut off the email feature or they will get an email every time some one posts on the wall. To shut it off is easy, just look at the top right side of group and you will see an edit settings button, click it and a new box will open up and then uncheck the email notifications and I also shut off the chat messages so if you have chatty people in the group who use Facebook Chat you wont have a chat box constantly popping up. It is a simple thing to do if you know about it and now you do.

Now here is a REALLY BIG TIP !!! If you are a member of alot of groups you are going to have to do this for every group. But wait Facebook has done something good to make it so you dont have to visit everyone and shut them of one by one. You can do this. Go to Account, account settings, go to the 3rd tab Notifications and click that. This is where you can shut off all those annoying emails you get from Facebook. Now go to groups and you will see a blue link to shut off all email notifications, click that and a new box will pop up and now you can just go down the list and uncheck every group then click save settings. Only problem with this is that you will have to constantly keep up on this every time a new group migrates over to the new format for the next few months. Sorry !!! 

Also people ask, Can I still send out messages from the new groups?  Yes but only if you have a group that has less than 250 members according to Mark Zuckerberg himself. Once you go over that it doesn’t work very well and sometimes not at all. But you have to set up a group email because as you know Facebook is converting all the old inboxes into his new message system.

To set up a group email just go to edit group, them you will see a button that asks you to set up and email.Just click it and set up your group email, you do get to chose what you want it to be. Then when you want to send a message out just go to you inbox and send out a message as usual only copy and paste the email address into the spot where it say who you want to send it. NOTE !!! From what I am hearing this will only work if you have the new email message system. I haven’t confirmed this yet as I have the new system and have had it for many months now. So I will keep you informed on this one but I have been able to send out messages with the new system.

People are also asking can I still control my group and the members that get in? YES !!! You can make it open, closed or secret plus Facebook has also recently added a new option available to the admins. Whereas even though anyone can try to add someone into the new groups you can now set it up so only an admin can approve entry into a new group. Even if the group is open to the public. Very Nice !!!

Now alot of Mafia Wars Families have been asking should I convert my War Page over to the new format. Absolutely Not In My Opinion !!! Unless you want the ability to still be able to shut down your war page so your attackers cant find you. I would suggest you make a Page instead. Facebook has a new page available for things like this called Community Pages. You still have the ability to ban and un-ban people and you can send out messages from them even if you go over 5000 members. Plus no headaches of people having to shut off emails as most war pages are very active.

I know this is alot of info but Facebook isn’t telling you anything and I want you all to know what is going on. I will be going over this more in more detail on Our Show Monday Night at 6PM EST.   21. I have a group where I can see a member’s comments on the page. I want to block them, but when I go to the members group list I can not see them. How are they keeping themselves off the group list? How can I force them into the open so I can see them?

    Perhaps you’re past the “Request Admin to Upgrade” stage, or never got the option to upgrade?
    You’re LOCKED out ie…you can see links and info as a NON MEMBER , but the moment you become a member or admin the info is just GONE !?

    We all know you might not really WANT to upgrade, but if you don’t you’ll lose all your members!

    There is a few posts going around that work for some, but if you’re still stuck then you’re probably at the right place.

    I did find a way (after MUCH trial and error and a few all nighters !!) and I am willing to help people for a small fee of U$50. Should I for some or other reason be UNSUCCESSFUL, I will refund you.

    It does take a bit of technical know-how and a few proprietary work around and that’s why I’m not just posting a step by step method.

    I will tell you straight up that it would involve you adding me on as admin JUST for the duration of the conversion, after which I will take myself off and hand it back to you.

    Who am I? I have a substantial web presence as a certified financial planner, a family man and so not trying to “scam” anyone.

  26. I’ve got a quick question and I apologize if I missed the answer in the article. For some reason when I upgraded the group none of the previous posts carried over. It said it would take several minutes, but it has now been all day and I haven’t seen anything.

    This group is very important to literally hundreds of people because it allows them to share their thoughts with a loved one who has passed away. This is sad because now none of their thoughts are visible anymore, which is not what the message said would happen.

    Can someone please help me with this? It would be so much appreciated!

    • you won’t get any help from FB. if you aren’t seeing the upgrade button right now you might get it later. however if you are afraid to ‘wait and see’ you can create a new group called exactly the same thing. copy/paste the address bar into an email to all members of the original group letting them know ‘this group page will be archived so i created a new page’ and hope that the majority will re-like. copy paste all important links, event info etc so you can upload it to the new group as a doc, etc….
      that’s my 2 cents anyway.

  28. I found out the other day that if an Admin is not using English (US) you don’t get to see the upgrade button, and members do not see the link to request Admins upgrade the group. For the smaller, semi-active groups, one or two posts on the wall seem to be enough to get the option to upgrade.

  29. Can you tell me how to get rid oƒ the, “Kathy Smith added Stan Branch” on my group wall (upgraded)? We’ve had more than 300 people join in the last week & the entire wall is ƒilled with these “notices” oƒ the names oƒ new members. It’s aggravating & I can’t seem to delete them! Help!

  30. I upgraded a family group that everyone had been scanning photos and adding to over the past few years. We had hundreds of photos, each with comment threads that had been built up over the years. Once upgraded, all the comments were gone from all the photos, and then random ones have started appearing – some under all the photos, some only under a few.

    Was this to be expected? Should I hold out hope that FB will get the comments back in place under the appropriate photo?

      I have found the original Discussions for three upgraded groups by searching for cached versions in Google. I wonder if the same applies to the original photos – you could try it.

    Wood be good to see it updated or a new version written in the light of all the comments here and to clarify or change some points in the light of new info you gather.
    Two of the points I would like to see confirmed and chiselled in granite as being correct are:
    “You will not see an upgrade button on this & the reason being is it is not your turn yet. Facebook seems to trying to do a controlled upgrade on this so they do not disrupt the site too much with everyone upgrading all their groups at once. Just like they did with the Page Migration.”
    If group owners KNOW that they eventually WILL get an invite to upgrade they won’t waste VALUABLE time and energy using various methods to try and get the invite and generally stressing out.
    Secondly, it would be good to KNOW that when a group with thousands of members is upgraded that ALL the members will be transferred automatically to the upgraded site.

    1/ is there anyway to moderate what a user posts on our group?

    2/ I noticed the default setting is “Notify me when:a friend posts”
    which mean that the sentence in this blog post “nce the new group is made every member will get updates directly to their emails of all activity in the group.”

    is not correct?

    • Same here, my group stayed open now. UGH. Any news on this changing? Also , I don’t want the group email accessible so anyone can just send an email to that address – but it forced me to make the group email with the upgrade. LAME. Give people new options but don’t FORCE them to lose ones they already had!

Some members are still posting on the old discussion page…which they had bookmarked. some are posting on the new “page.” Although the old “discussions” appear both places, the comments made from one do not appear on the other. i am assuming the old discussion page will eventually just go away. One day they won’t be able to get there? I’ve posted about this…but some still post both places or on the old.

  39. well, seems like there’s a good side to Mafia Wars after all 🙂 (actually I remember that MW were the people who told us our newsfeeds had been dropped to a small amount of our ttal friends the first time – way back in 2009, I believe)
    I’m starting to think the Mafia just may be a good thing.

    Anyway, after hand archiving every post rom my “old group” (originally known as Facebookers for Message of the Day – remember MOTD? Where your ISP told you what was changing as you signed on each day? Me, just barely. Facebook never does.)
    Like many who try to help Facebookers with what FB won’t tell you, I see you’ve gone to WordPress. Good idea. Is it better than blogger?

  40. I don’t want to upgrade my daughter’s Memorial site. She passed on to Heaven in May of last year and I’ve noticed other upgraded Memorial sites are getting nasty comments from people saying “get over it”. Will I lose all the wonderful comments of support people have left us if I just let it go to archive? Kara was deeply loved and there are almost 5,000 members on her site. Can some chose to be re-added to the archived site?

    • if you dont upgrade it Facebook will do it anyway. You will not lose the members as they will all come over and you can make it so only admins can write on the walls. if that helps.

  41. We also had videos on our group, and now they seem to be hidden, with no apparent way to access them. Am I just not seeing the video tab (or events tab, for that matter) on my screen, or are they doing away with videos for groups?

    • There is a solution to that. I thought we had lost ours too. I uploaded the one I did and when it said done and edit I found all our videos. I copied and pasted a link to our videos into the New document feature. At least that way we can still access them. We lost of photo comments and shared links from members.

      • Wow, Dianne (sorry to keep u waiting)! I thought I had problems with 5300+ members! Yes; assuming it behaves consistently regardless of the # of members, each ‘page’ in the popup window has only about 105-110 members.

        That’ll give you some idea of progress, particularly if you include the title text in the popup box or in the footers outside the box with each ‘page’ selected-copied-pasted. This will make more sense after you read this Note, _then_ continue below:

        Since you’ll have so many ‘pages’ in the new document, you can Find/Find Next on a keyword from the title or footers you’ve been pasting in, and estimate how far you are and how much longer you’ll be at it. I think 5300+ members took me somewhat over an hour, though that included some testing/experimenting and cranky computer symptoms.

        I just confirmed that the Members list pops up in reverse chrono order, i.e. most recently added members FIRST. That’ll make it easier to check for newer additions every day or so until this nightmare is over!

        IMPORTANT: You should [re]save the file as .rtf format in MS Word or something that will strip out all the pictures quickly, to keep the file size down. Your system might get a little unstable otherwise, at least if it’s as constipated and overdue for software/data maintenance as mine! 🙂

        Ultimately you’ll probably want to put all this in Excel/another spreadsheet so you can sort it alphabetically and maybe divide it up among several people IF it turns out you lose your Members list and have to start contacting people one by one! Crossing my fingers for you and us all…

        • I was sailing right along with saving my members list, but today I’ve encountered a new glitch 😦 After going through about 10,000 members on the ‘edit members’ link, it won’t let me go any further. (I have 23,171 members in my group).

  49. You’re correct… it is Archived groups that lose their members – and archiving is what FB announced yesterday. If the Admin upgrades apparently the members are migrated. BUT not everyone sees the option to upgrade. And I know some who did choose to upgrade and lost their members and now have to add them manually. And by migration I think it means that people suddenly find they’ve been added to a New group. I also think it depends on the group size and the group has to be small. Anyway, thanks for the clarification.

    Actually no, they won’t. Ask anyone who has upgraded… members have to be added manually. Where did Facebook say that members of old groups will carry over to the new ones? Can you post it?

    • What happens when an admin upgrades an old group?
      If the admin of an old group decides to upgrade, the group will be converted to the new groups format. If the admin chooses not to upgrade, the group will eventually be archived. Almost everything from the old group will be available in the upgraded group, with a few exceptions.

      Things that will be available in the new group include:
      Group photos and Wall posts
      Group discussion threads, which become Wall posts
      The group description, which can be found at the top of the page when you click “See All” members in the new group
      Members of the old group will be migrated to the new group
